Registration fees

The cost of registration includes conference attendance, refreshments, lunches and dinner on Sunday 23rd and Monday 24th October (food and soft drinks only). Please note that a cash bar will be open for you to purchase your own drinks during both evenings.

Accommodation at Cumberland Lodge from Sunday 23rd to Tuesday 25th October 2016 can be booked through registration. Please note that the available number of bedrooms at Cumberland Lodge is limited and provided on a first-come-first-served basis (via online registration below). You also have the option to register as a day delegate only and stay elsewhere.

Payment information

Participants should use the online registration system (see below) to register for the workshop. Please note that a service fee of 4.5% will be applied for payment by debit or credit card. If you are reclaiming the cost of your registration fees from your institution, please remember to include a copy of your receipt showing the service's fee's in order to reclaim the higher amount.

Refund policy: All cancellations must be confirmed in writing by sending an email to mi20@imperial.ac.uk and obtaining a cancellation reference.  This cancellation policy applies to both the registration fee and any accommodation booked at Cumberland Lodge. Cancellations made before 23rd of September 2016, will be charged a 25% cancellation fee. Cancellations made between 26th of September to the 10th October 2016, will be charged a 50% cancellation fee. Cancellations made on or after 11th October 2016 will be charged a 90% cancellation fee. Any Cancellations made on or after the 18th October 2016, cannot be refunded. Substitutions of delegates will be permitted and all name changes must be emailed to mi20@imperial.ac.uk

In the event of unforeseen circumstances we reserve the right to change the venue, dates and programme.

Accommodation at Cumberland Lodge

Room types: Both single and twin rooms are available to reserve. If you wish to share a bedroom, please note you will need to organise your own guest to share with and we are unable to assist you with this.

Facilities: Cumberland Lodge is an historical house so facilities on offer do differ from those in a hotel.  All the bedrooms at Cumberland Lodge offer the following facilities. They are en-suite, have towels and toiletries, there is free Wi-Fi internet access from all bedrooms and public areas, there are tea and coffee making facilities as well as a safety deposit box in the wardrobe of each bedroom. We would also like to make you aware of the following regarding the bedrooms at Cumberland Lodge. You should expect some variation in the size/bathroom facilities of the bedrooms since this is not a purpose built hotel. Some of the bedrooms are located in the mews, which is in the building adjacent to the main house (less than 1 minute walk away). None of the bedrooms have a telephone or television so please bring your own laptops to use Skype instead (there is free wi-fi and a television in the sitting room). There is an office available for guests to use the telephone, computer, printer, photocopy and scan. Nominal charges apply to this use for which you will need to pay cash. Some payphones are also located in the Mews, adjacent to the main house.

Your stay at Cumberland Lodge includes Breakfast however there is no room service or restaurant facilities available. A cash bar will only be open during the evening meals for you to purchase your own drinks but this will not be open at other times.  We recommend you make arrangements to bring sufficient funds to cover this cost prior to your arrival since once at the Lodge the nearest ATM is back at Egham. As Cumberland Lodge will only be issuing one invoice to the organisers it is not possible to arrange any hotel bills, hence all extra items will need to be paid in cash as required.

Check-in: You may check-in from 3pm onwards at Cumberland Lodge on Sunday 23rd October 2016.  If the front door is not open when you arrive, please ring the front doorbell.  After you have been checked in, you will be issued with a swipe card to access the front door and a user name/password to access the internet.  There is always either a duty manager or night supervisor on site at all times.

Check-out: Please check-out from the bedrooms is by 9am on Tuesday 25th of October 2016. Luggage storage facilities are available. You need only return your swipe card upon departure.

Special requirements: Please use the personal details section of the registration form to indicate any dietary requirements or access issues that you may have.
